[What the role is]
The officer will report to the Team Lead and be responsible for planning, developing and supporting the day to day office administration, facilities maintenance and sustainability implementation and related projects under Workplace Management.
[What you will be working on]
Sustainability
- Drive and coordinate SSG’s ESG efforts across divisions and related stakeholders
- Promote awareness of sustainability in the organisation through the development and implementation of internal communications strategy
- Propose innovative and practical improvements to support SSG in meeting the targets for environmental sustainability
- Monitor and analyse SSG’s GreenGov metrics and other SSG’s assets for regular management reporting, including working with internal stakeholders to collate and produce relevant info and data for the annual ESG report
- Coordinate related activities and follow ups to support the Sustainability Task Force
Workplace Management
- Review and propose innovative processes and office infrastructure to increase operational efficiency and streamline office processes
- Lead projects and initiatives to upgrade the workplace to enhance staff’s experience and provide a conducive environment to support divisional operational needs
- Manage workspace planning to optimize space utilization and accommodate evolving business needs
- Manage the administration and procurement of corporate services, including facilities management, offsite warehouse storage, corporate insurance, pantry and emergency supplies, and office leases
- Develop and implement operating and administrative policies and procedures, ensuring compliance and best practices
- Oversee the facilities management team in ensuring the office facilities are well-maintained, with prior experience in managing electrical shutdowns, telecommunications subscriptions and environmental monitoring systems
- Support the agency’s efforts in records management to ensure compliance to Instruction Manual
- Coordinate business continuity planning and other crisis management matters, including maintaining the emergency response plan, coordinating office first-aid readiness and promoting fire safety awareness for the organisation
[What we are looking for]
- Tertiary qualification in any discipline
- At least 5 years of relevant work experience in office administration, facilities management and operating processes, preferably in a public agency
- Prior experience in sustainability reporting and management of environmental, sustainability and governance (ESG) initiatives
- Knowledge of Government Instruction Manual on Procurement preferred
- Proficient in MS Office tools and other IT tools (such as Tableau)
- Good writing and communication skills
- Organised, meticulous with good problem solving skills
- Able to work independently and collaboratively with team members, internal stakeholders as well as vendors and contractors
